This policy explains what personal data Crayon City LLC (CrayonCity) ("we", "us") collects when you use crayoncity.dev and Crayon Board at board.crayoncity.dev, why we collect it, and your choices. We are the data controller for this data. Contact: support@crayoncity.dev.
1. What we collect
Account data
When you sign in with Google, we receive your name, email address, profile picture and a Google account ID. We never see your Google password.
Class data
The topics you ask about, your answers and questions (typed or spoken), and the classes generated for you are saved in your class history. If you attach an image or PDF, it is used to create that class. If you add a book or notes as a PDF, we store the file and its text so classes can be taught from it, until you delete it.
Feedback and learning preferences
If you rate a class, we keep the rating, anything you pick or write about it, and simple signals from the class (such as how many quick checks you got right and how often you asked for a simpler explanation). We use them only to shape your next classes. You can reset what the tutor remembers from the Crayon Board home page at any time.
Plans and payments
Your plan, its status and billing period, how many credits you have used this month, and any credits added or given back (top-ups, gift codes, classes that failed to start). For payments, we keep the plan, amount, currency, date and the Stripe customer, subscription and invoice references. We do not receive or store your card details. Stripe processes the payment and holds the card.
Usage and technical data
Basic records needed to run and protect the Service: the AI model used, the amount of processing each class used, IP address for rate limiting, and error logs.
Support messages
If you contact support by email or WhatsApp, we keep your messages and contact details so we can reply.
2. Why we use it
- To provide the Service — signing you in, generating classes, shaping them around your feedback, keeping your history and your plan's credit balance (necessary to perform our contract with you).
- To process subscriptions, payments and refunds with Stripe (contract, and legal obligations for tax and accounting records).
- To keep the Service secure and fair — preventing abuse, fraud and creating accounts to collect free credits (our legitimate interests).
- To answer you when you contact support (legitimate interests).
We do not sell your personal data, we do not show ads and we do not use your classes to train AI models.
3. Who we share it with
We share data only with the service providers needed to run Crayon Board:
- Stripe — our payment processor. Stripe collects your card and billing details directly under its own privacy policy.
- Google — sign-in.
- AI model providers: Google (Gemini API), and OpenRouter and the providers it routes to (for example Anthropic, OpenAI and xAI). They receive your topic, questions, any attachments and the class conversation so they can generate the class and its voice.
- Web search provider (Exa) — receives only the class topic, to look up current facts for the class.
- Hosting provider — stores the database and runs our servers.
If you use voice input, speech recognition is performed by your web browser, which may send the audio to the browser maker (for example Google or Apple).
We may also disclose data if the law requires it.
4. International transfers
Crayon City LLC is registered in the United States. Our team and our service providers work from several countries, including the United States and Bangladesh. When data is transferred, we rely on those providers' contractual safeguards, such as standard contractual clauses.
5. Cookies
We use only essential cookies:
- a sign-in session cookie that keeps you signed in for up to 30 days;
- an anonymous learner cookie so a class started before signing in can be linked to your account;
- a short-lived sign-in security cookie used during Google sign-in.
Your chosen display mode and theme are stored in your browser's local storage. We do not use analytics or advertising cookies.
6. How long we keep it
- Account, class history, feedback and plan records: while your account is open. You can delete individual classes from your history at any time.
- After you ask us to delete your account, we delete your account, classes and feedback within 30 days.
- Purchase records: as long as tax and accounting laws require, normally up to 7 years.
- Support messages: up to 2 years.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, and to object to or restrict how we use it. To make a request, email support@crayoncity.dev from the email address on your account. We reply within 30 days. You may also complain to your local data protection authority.
8. Children
Crayon Board has a kids mode, but accounts must be created and managed by an adult. Children should use it only with a parent or guardian. We do not knowingly collect personal data directly from children. If you believe a child has created an account, contact us and we will delete it.
9. Security
All connections use HTTPS. Sign-in session tokens are stored only as hashes, and access to our database is restricted. No system is perfectly secure, but we work to protect your data.
10. Changes
If we change this policy, we will update the date above. If a change is significant, we will also show a notice on the website or in the app.
